Efficient Inventory Management in Archives Through non-destructive RFID Labels

Innovation at IFLA World Congress: RFID Solution for Sensitive Media by Schreiner PrinTrust

The newly developed ((rfid))-Archive Label for precious books enables the efficient management of collections in archives.

Schreiner PrinTrust presents its ((rfid))-Archive Label for libraries and archives at stand B138 at IFLA World Library and Information Congress on August 20 to 23, 2017 in Wroclaw, Poland. The unique solution enables efficient inventory management of valuable and sensitive media through radio frequency identification (RFID) technology. The strong permanent adhesive of the radio label does not affect valuable documents and guarantees removal without leaving any residue even after decades. The certified label thus meets all material-related prerequisites for archival quality. The National Library of Sweden in Stockholm is already benefiting from the state-of-the-art inventory management system.

Nowadays, RFID technology is the international standard in many libraries for the efficient electronic administration of their collection. However, standard RFID labels are not suitable for use on sensitive antique or valuable media since the labels would cause them irreversible damage over time or at the latest when the label is removed. For these requirements Schreiner PrinTrust has developed special RFID labels that enable inventory management via RFID also for this kind of media, be it books, manuscripts, maps, photos or sheets of music.

Archival Quality
A special strongly adhering, pH-neutral and acid-free adhesive, which still allows the label to be removed without leaving any residue even after a long period of time, guarantees the optimal protection of valuable and historic objects. In addition, a special age-resistant paper is used for the label. This paper has no effect whatsoever on the labeled media. This means that even after several decades of application the label does not cause any damage to the archived documents. The product is certified according to the requirements for archival quality. The RFID transponder used has a guaranteed data retention time of 50 years and is therefore suitable for long-term application.
"When taking inventory, manual handling is unnecessary due to the contactless reading of chip information. The label enables the quick and reliable bulk reading of media. Moreover, it makes the process of seeking and finding individual documents much easier," says Business Development Manager Christian Stephan, summarizing the other advantages of the label. Schreiner PrinTrust offers dedicated TTR printers for the individual overprinting  and programming of the labels.

The "Kungliga biblioteket" numbers among the largest libraries in the world. In 2014, the institution decided to modernize its collection management system by replacing the barcode labels used up to then by RFID labels. As there were also antique, sensitive media to be archived, the library opted for the ((rfid))-Archive Label of Schreiner PrinTrust. The modern inventory management system has made the lending process in the public reading room much quicker and more reliable. In addition, the automated security checks made possible by the RFID technology of the labels ensure that no documents leave the room or building without permission.
